Educational Qualification : Graduate/MBA/ Executive Assistant Program

Experience : 8 - 10 yrs. of experience as Executive Assistant to CFO/Board of Directors in FMCG

- Excellent knowledge of Word, Excel, Outlook, Internet

- Strong attention to detail, accuracy and efficient organizer

- Excellent ability to communicate both verbally and in writing

- Exceptional interpersonal skills, proven ability to work collaboratively as part of a team in a deadline driven environment.

- Ability to provide high level, priority management and calendar management support to executive management.

Purpose of the Position (Job Summary) :

- To provide direct administrative support to the CFO and executive management and indirect support to the Board of Directors and, as required, its Committees, while managing very confidential material and information.

- As a member of the support services cross-functional team, provide support and oversight of the office administration functions including reception, facilities, telephone, purchasing, equipment maintenance and other duties as may be required for successful organizational results.

Key Roles and Responsibilities :

- Financial - Works closely with the CFO on special projects and Audit and Finance & Investment Committee activities.

- Completes various forms, including: purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, etc.

Customer Oriented - Responsible for scheduling and managing the CFO's calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organized office.

- Provides support in arranging Finance meetings including collation of speaking notes and/or briefing notes, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.

- Proofreads, answers, and composes routine correspondence both hand written and electronic, including donor and board communications and other partner related materials; prepares selective summaries and any follow-up actions for the CFO.

- Supports and coordinates Audit and Finance & Investment Committee meeting arrangements including teleconferences and minute taking as required.

- Performs general clerical duties to include but not limited to; transcribing dictation, scanning, copying, faxing, filing, and data entry. Collects and opens mail addressed to the Finance/Accounting; forwards correspondence to appropriate staff for action.

- Undertakes special assignments/projects on a wide variety of issues as requested by the CFO and Finance Directors.

Internal Business Process - Coordinates, plans, and organizes small-to large-scale meetings.

- Performs other duties as required and/or assigned.
