Dainik Bhaskar Group - Executive Secretary to Managing Director (2-5 yrs)

- As an Executive Secretary at DB Corp., you will play a pivotal role in ensuring the smooth functioning of our Managing Director (MD). Your primary responsibilities will include calendar management, travel and meeting planning, and administrative coordination. You will work closely with the MD to optimize his schedules, streamline his travel logistics, and facilitate effective communication within the organization.

Key Responsibilities :

1. Calendar Management : 

- Efficiently manage and prioritize the calendar of the MD, ensuring his time is allocated to strategic priorities.

- Schedule meetings, appointments, and conference calls, taking into consideration the availability and preferences of the MD.

- Act as a gatekeeper to prevent scheduling conflicts and facilitate time management.

2. Travel Management :

- Coordinate all aspects of the MD's travel, including flight bookings, hotel reservations, ground transportation, and visa requirements.

- Prepare detailed itineraries and travel packs to ensure the MD has all the necessary information for his trips.

3. Coordination :

- Act as a central point of contact between the MD, internal departments, and external stakeholders.

- Manage email correspondence, phone calls, and other communications on behalf of the MD, ensuring timely responses.

- Assist in the preparation and distribution of reports, presentations, and other documents.

4. Meeting Planning :

- Plan, schedule, and organize meetings, conferences, and events for the MD.

- Prepare meeting agendas, distribute materials in advance, and capture meeting minutes.

- Coordinate logistics, such as catering, audio-visual equipment, and meeting room reservations.

5. Administrative Support :

- Provide general administrative support to the MD, including reporting, document management, and filing.

- Handle confidential and sensitive information with the utmost discretion and professionalism.

- Assist in special projects and assignments as needed.

Qualifications :

- 2- 5 years of experience in an administrative role

- Exceptional organizational and time-management skills.

- Proficiency in calendar management, travel coordination, and meeting planning

- Strong English and Hindi communication skills, both written and verbal

- High level of professionalism and the ability to maintain strict confidentiality.

- Tech savvy with proficiency in Microsoft Office Suite, Google Calendar, Documents & Sheets.

- Master's degree
