Executive Assistant (5-10 yrs)

Job Summary:

We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive administrative support to senior executives. The ideal candidate will have a proven track record of supporting C-suite or senior-level leadership, manage dynamic schedules, and handling confidential information with discretion and integrity. This role requires excellent communication skills, technical proficiency, and the ability to manage multiple priorities with precision and attention to detail.

Key Responsibilities:

- Provide high-level administrative support to senior executives.

- Manage calendars, schedule meetings, and coordinate appointments using Microsoft Outlook.

- Draft professional emails, letters, memos, and other communications on behalf of the executive.

- Organize and prepare for meetings, including gathering documents and attending to logistics.

- Arrange domestic and international travel itineraries, including flight, hotel, and transport bookings.

- Serve as a point of contact between executives and internal/external stakeholders.

- Handle confidential documents and sensitive information with the utmost discretion.

- Track and follow up on project deadlines and action items to ensure timely execution.

- Assist in preparing presentations and reports using MS PowerPoint and Excel.

- Maintain and organize electronic and paper files for easy access and retrieval.

Qualifications:

Education: Bachelor's degree in business administration, Secretarial Studies, or a related field (required).

Experience:

Minimum 5 years of experience as an Executive Assistant or in a similar administrative role.

Proven experience supporting senior executives or C-suite professionals.

Technical Skills:

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Skilled in using calendar and email management tools (e.g., Microsoft Outlook).

Communication Skills:

Excellent verbal and written communication skills.

Strong professional email and document drafting abilities.

Comfortable communicating with internal teams and external partners or clients.

Organizational Skills:

Exceptional time management and multitasking capabilities.

Ability to prioritize tasks effectively and maintain attention to detail.

Experience in coordinating meetings, events, and travel logistics.
