Executive Assistant & Admin (2-6 yrs)
- Manage complex calendars, optimize stakeholder's time, meeting organization, travel coordination, and expense reconciliation
- Maximize team's productivity by streamlining communication; track and help drive completion of key deliverables
- Coordinate and track internal, and external clients and candidate meetings direct team engagement activities and spearhead special projects
- Arrange bookings of internal and external meeting rooms, catering, and similar for meetings and team events
- Act as the point of contact between the executives and external stakeholders
- Provide general administrative support and complete co-ordination with teams. Excellent Ability to Draft Email, Cordination with Vendors and Stakeholders.
- 2-6 years of experience providing professional and administrative support to multiple business leaders simultaneously
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
- Excellent written and verbal communication skills in English; outstanding interpersonal skills
- Can make decisions with a high level of attention to detail can handle multiple tasks and prioritize in a fast-paced environment with tight deadlines;
- Anticipate and oversee all aspects of the executives' schedule and day-to-day requests.
- Manage and coordinate employee engagement and training events across the organization.
- Keeping a track of hardware inventory for the office and coordinate with employees for the same
- Develop strong working relationships, demonstrating superior communication skills within all levels of the organization.
- Coordinate effectively with internal departments and administrative team members.
- Use of excellent judgement with internal and external clients and ability to re-prioritize schedules accordingly.
- Manage expense reimbursements, invoicing and department budgeting related items.
- Coordinating with external vendors for placing orders, invoicing and payment related matters
- Demonstrate utmost discretion in dealing with sensitive firm and personnel information.
- Coordinate and contribute to department projects and special assignments.
- Manage workload with a sense of urgency, continually keeping an eye on multiple assignments and proactively anticipate needs.
