Job Description :

Reporting To : Managing Director


Direct Reports : Nil


Objective Of The Role :


- The role is to provide Assistance to the Managing Director in the execution of his role and reduce his time and bandwidth on mundane routines and chores.

Key Responsibilities :


Facilitating the MD :

- Handling telephone enquiries, redirecting calls, reverting to calls/queries and taking messages.

- Coordinate and maintain the diary of the MD including organizing of all appointments, meetings, travel, guests, etc.

- Reminding the MD on certain commitments.

- Managing Personal Portfolio's (House Rents, Credit card payments, Telephone bills etc.) Guest relation coordination, internal department's coordination.

- Follow through of certain decisions taken. Scheduling of review meetings with HOD's business managers

- Managing personal commitments including those for the family where and when needed.

Coordinating and organizing of meetings :

- Maintain executive's appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.

- Handle a wide variety of situations involving administrative functions including scheduling appointments, meeting preparation and travel itineraries.

- Providing updates to the MDs on priorities and execution on minutes of the meetings etc

- Coordinate with external partners, business associates, networks.

- Maintain a list of all networks and maintain regular contacts with such networks by sending greetings, gifts, personal notes, etc

- Keeping a track of all key dates including birthdays, anniversaries etc

- Coordinate social meetings and if required also be involved in follow through actions
