Detailed JD :

- The Executive Assistant (EA) to the CEO will play a pivotal role in facilitating seamless communication, collaboration, and reporting across various operational roles within the company, as well as assisting the CEO with a variety of needs.

About the company : Food manufacturing

Experience range : 5 to 10 yrs

Salary range : 3500 to 4000 USD pm

Location : Congo (Central Africa)

Indicative Key Result Areas :

1. Meeting Facilitation : Coordinate and schedule regular meetings between different operational teams, ensuring that relevant stakeholders are present. This includes monthly-staff meetings as well as regular stand-ups between relevant departments.

2. Agenda Setting : Work closely with department heads to establish meeting agendas, ensuring that key topics are covered, and objectives are aligned. Anticipate potential discussion points and challenges to streamline the decision-making process.

3. Meeting Preparation : Ensure that all stakeholders have presentations ready in standardised formats prior to meetings, and work with stakeholders as needed to improve the quality and clarity of their presentations to optimise meeting efficiency.

4. Documentation : Take comprehensive minutes during meetings, highlighting key discussions, decisions, and action items. Distribute these minutes promptly to all relevant stakeholders, keeping them informed and accountable.

5. Follow-Up : Monitor and track action items and deadlines resulting from meetings. Regularly update the CEO on progress and any outstanding issues, ensuring that decisions are implemented effectively.

6. Communication Liaison : Serve as a communication bridge between the CEO and various operational teams. Ensure that the CEO receives timely updates on critical matters discussed in meetings.

7. Calendar Management : Schedule and coordinate appointments, meetings, and events for the CEO. This involves managing the CEO's calendar efficiently, taking into account priorities and potential conflicts.

8. Communication Management : Screen and prioritise emails, phone calls, and other forms of communication for the CEO. Draft and respond to correspondence on behalf of the CEO when necessary. Ensure that the CEO is well-informed and adequately prepared for all engagements.

9. Travel Arrangements : Plan and coordinate domestic and international travel for the CEO, including booking flights, accommodations, and transportation. Ensure that all travel arrangements align with the CEO's schedule and preferences.

10. Information Management : Organise and maintain files, records, and documentation for the CEO. Manage information flow and ensure that the CEO has access to relevant data when needed.

11. Special Projects : Assist with special projects or initiatives as assigned by the CEO. This could involve research, analysis, and coordination of efforts across various departments, or ad hoc support including personal tasks from time to time.

12. Cross-Functional Assistance : Assist other key members of the senior leadership team with similar tasks, as authorised by the CEO, from time to time.

Qualification & Experience (Education, Experience and age criteria) :

Education :

Minimum : Graduate Degree or global equivalent preferably in Commerce/Finance

Mandatory : Full time Master of Business Administration

Computer skill : Advanced level of computer skills in Microsoft Office suite with excellent knowledge of working on MS Excel and PowerPoint

Experience : 6-7 years of relevant experience working for a CEO. Excellent written and verbal communication skills with email etiquette. High level of integrity and Resourcefulness. Ability to multi-task, working under pressure and handling ambigous situations.

Age criteria : Not more than 35 years.
