Executive Assistant to Director (4-10 yrs)
Key Responsibilities
1. Executive Support & Daily Management
- Manage and prioritize the Director's calendar, meetings, appointments, and reminders.
- Coordinate and schedule internal and external meetings, calls, and travel plans.
- Anticipate the Director's needs and ensure all preparations are in place ahead of time.
2. Communication & Documentation
- Draft, edit, and proofread professional emails, proposals, and internal/external communication on behalf of the Director.
- Prepare presentation decks, reports, and briefs using MS Word, Excel, and PowerPoint.
- Take accurate meeting minutes, follow up on action points, and ensure timely completion.
3. Operational & Administrative Tasks
- Assist in project tracking, file organization, and follow-ups with internal teams and external partners.
- Maintain records, confidential files, and key project documentation.
- Handle personal and professional tasks with efficiency and discretion.
4. Tech-Savvy & Process Improvement
- Leverage AI tools and digital productivity platforms (e.g., ChatGPT, Notion, Trello, Canva, etc.) to streamline tasks.
- Stay updated on emerging technologies and recommend tools to improve workflow and productivity.
- Assist with light research, content preparation, or digital tasks when required.
