Hashone - Executive - Tender (1-3 yrs)
1. Role Overview
We are looking for a Tender Executive who will play a key role in managing the end-to-end tendering process for both government and private sector projects while also supporting business development and documentation efforts. The ideal candidate will have a strong understanding of government and corporate tendering procedures, excellent documentation skills, and a proactive approach to identifying and securing new business opportunities.
2. Key Responsibilities
- Track and analyze EOIs, RFPs, RFQs, and tenders, ensuring alignment with business capabilities.
- Assess scope of work, pre-qualification criteria, and proof of concept (POC) requirements to determine bid feasibility.
- Prepare and submit technical and financial proposals, ensuring compliance with tender guidelines and documentation standards.
- Coordinate with internal teams to draft BOQ (Bill of Quantity) and material specifications for bid submissions.
- Manage Earnest Money Deposits (EMD), Performance Bank Guarantees (PBG), and other bid securities required for tenders.
- Attend pre-bid meetings, liaise with procurement authorities, and address bid clarifications to strengthen submission quality.
- Identify and evaluate new tendering opportunities, collaborate with vendors, and develop strategies for joint bidding.
- Track awarded tenders, ensuring smooth contract execution, invoicing, and compliance with Liquidated Damages (LD) clauses.
- Monitor industry trends, competitor pricing strategies, and procurement policies to enhance bid success rates.
- Maintain records of tender submissions, success rates, and documentation templates, refining processes for efficiency.
- End-to-end product and catalogue management on GeM / other Portals as specified by the management.
- In addition to the defined responsibilities, you may be required to support business development and sales initiatives of the team, as well as undertake ad hoc tasks as needed.
3. Required Qualifications
a. Bachelor's degree in Business Administration, Engineering or a related field.
b. 1+ years of experience in tender management, business development, or a similar role.
c. Strong understanding of government procurement processes and corporate tendering procedures.
d. Excellent written and verbal communication skills with proficiency in drafting proposals and official documents.
e. Ability to research, analyze, and interpret tender specifications and requirements.
f. Proficiency in Microsoft Office (Excel, Word, PowerPoint) and documentation management tools.
g. Strong organizational skills, attention to detail, and ability to meet tight deadlines.
h. Experience in working with cross-functional teams to gather and compile information for tenders.
i. Knowledge of the XR (AR/VR) industry is a plus but not mandatory
