Manager - Administration & Facility Management (10-15 yrs)

- Contracts management, documentary and financial Job Responsibilities. Discharging responsibilities on whole gamut of review of vendor invoices for completeness and appropriateness, necessary follow up with various departments and locations regarding submission of bills and vouchers and the related training of the point person(s) at regional offices across India, internal financial control & audits.

- A qualified and experienced facility manager, leading a team of more than 20 insourced facility management resources, facility systems and equipment, and liaison with various contractors and service providers.

This position offers excellent opportunities for growth within the organization. administrative areas ranging from :

- Facility management and administration, and the related statutory and legal compliance Management and administration of benefits and facilities provided to employees, like travel assistance from agencies and hotels, accommodation as per HR policy, Group Medical insurance program management.

- Vendor management, contract administration, inventory management, corporate card program management, Fixed Asset Register management,security and safety of assets as well as personnel. Management of overall payables, processing of bills,reconciliation and release of payments as per Standard Operating Procedures of the Organisation.

HR related Administration : Management and processing of Leave Record, Management of Contractual Staff compensation and benefits, processing of Employee claims and reimbursement for expenses incurred for office purposes, Management and supervision of interior fit-outs and basic engineering concepts

- Management of advance to employees through Corporate cards, Foreign Exchange and INR, etc.

- Management and reporting of legal compliance relating to the aforesaid job areas including utility operation and maintenance, Manning of activities of Facility Management Agency and Security Agency

- Ensure healthy and hygienic operation of canteen /cafeteria through the contractor

- Initiate vendor development and identification programs for various services with the objective of

Maintaining sustainable and mutually beneficial relationships : Drive contract negotiations and finalization with selected vendors / contractors, Analysing the need, developing and executing the support systems and putting in place required systems for services like security, safety, housekeeping, preventive maintenance, pantry, operations, reprographics, office stationery and parking management, Landscape Management, AMC, Management of capital equipment.

- Responsible for transport management of staff and visitors, ensuing women safety during travel

- Responsible for complete arrangements for events,conferences, seminars and meetings and other functions of the organisation in the office building

- Liasoning with government authorities for smooth and seamless compliance with required statutory and legal requirements.

- Operational support to Regional Offices as per Organisation Policies

- Provide necessary support to employees of the organisation on policies related HR and Standard

Operating Procedures : Adherence to taxation and related legal requirements for all the aforesaid transactions and activities.

- Planning and preparing monthly reports pertaining to the finance required for maintaining office infrastructure and facilities.

- Budgeting and cost control measures w.r.t. the job areas. Monitoring budget versus the actuals, and the variance.

- Assisting the department in Project Management, Cost Optimization and Implementing Business Expansion Plans.

- Cost Control and ensuring timely implementation of project(s).

- Acting as the Management Info-Hub for providing administration related information and supervising administrative activities like General Admin, Verification of stationery stock, courier, florist, pest control, housekeeping, etc.

- Publish a monthly dashboard/ MIS on the health of the services related to employee benefits, facility management costs, and contracts and invoices.
