Procurement Officer - Education (5-7 yrs)

Job Purpose:

The Procurement Officer will be responsible for leading the end-to-end procurement process across all campus departments. This role ensures that the institute acquires high-quality goods and services- ranging from IT infrastructure and library resources to facility maintenance and marketing services- at the most competitive prices, adhering to global compliance standards.

Key Responsibilities:

1. Strategic Sourcing: Identify and vet global and local vendors who align with the institute's brand standards.

2. Contract Negotiation: Negotiate favorable terms, pricing, and Service Level Agreements (SLAs) with suppliers to ensure maximum value for money.

3. Purchase Order Management: Oversee the preparation and processing of Purchase Orders (POs) in accordance with institutional policy.

4. Vendor Relationship Management (VRM): Maintain a database of approved vendors and conduct annual performance reviews to ensure service quality.

5. Compliance & Ethics: Ensure all procurement activities comply with the institute's anti-bribery, ethics, and financial transparency guidelines.

6. Inventory Control: Coordinate with Campus Facilities to monitor stock levels and ensure timely replenishment of essential supplies.

7. Budget Alignment: Work closely with the Finance Department to ensure all procurement stays within the allocated departmental budgets.

Required Qualifications & Skills:

- Experience: 5-7 years of procurement experience, preferably within the Higher Education or Service Sector.

- Technical Skills: Proficiency in ERP systems (e.g., Oracle, SAP, or Microsoft Dynamics) and advanced MS Excel.

- Soft Skills: Exceptional negotiation, analytical thinking, and the ability to work in a multicultural, multi-campus environment.

- Global Mindset: Familiarity with international shipping, customs, and VAT regulations (particularly relevant for the Dubai/Global campuses).

Focus:

- Technology Procurement: The officer will often deal with specialized high-tech audiovisual and software vendors.

- Facility Services: Managing contracts for housekeeping, security, and student housing services that meet the luxury standards associated with the brand.
